The result is only as good as the sample

A laboratory can be meticulous, its instruments perfectly calibrated and its quality control faultless, and still produce a useless number if the sample that arrived was collected badly. In surface residue testing, sample collection is not a formality that precedes the real work — it is where most of the uncertainty in a final result is created or avoided.

Three things go wrong most often. The area sampled is not the area assumed, which makes a concentration expressed per 100 cm² meaningless. Cross-contamination occurs because gloves or templates were reused between locations, so a hot spot in one room appears as a false positive in a clean one. Or the wipe substrate and wetting solvent are inappropriate, so residue that was genuinely present on the surface never made it into the container.

Our kits exist to remove all three failure modes. How the digital chain of custody works

This is the part that most distinguishes our kits from a conventional laboratory's. There is no paper chain of custody form to complete, photograph, lose or courier separately from the samples. Instead, each sample container carries a unique identifier, and you register that identifier digitally at the moment you collect the sample — recording the room or location description, the surface type, the sampled area and an automatic timestamp.

Because the registration happens in the field, the record is created once, by the person who actually took the sample, at the time they took it. Nothing is transcribed later from memory or handwriting. The record is timestamped and tamper-evident, which is precisely the characteristic that makes a chain of custody worth having in a tenancy dispute, an insurance claim or a legal matter.

The operational benefit is speed. When your satchel arrives at the laboratory, the samples are scanned against a record that already exists and go directly to extraction. There is no data entry queue between the courier and the bench, which is why a wipe collected in remote Western Australia is booked in exactly as quickly as one collected in Brisbane.

Using the kit: the sampling sequence

The method is straightforward, and following it exactly is what makes the result defensible. Put on a fresh pair of gloves. Place a template flat against the surface to define the 100 cm² area. Open a single wipe and draw it across the area in overlapping parallel strokes in one direction, then fold the wipe and repeat across the same area in the perpendicular direction, so the whole area is covered twice. Fold the wipe inward, place it in its container, seal it and register it digitally with its location description and surface type.

Then discard the template and the gloves before starting the next sample. This is the step people skip when they are in a hurry, and it is the step that invalidates results. A glove that touched a wall carrying 40 µg/100 cm² will transfer residue to the next surface you handle, and you will end up remediating a room that was never affected.

Collect your field blank by opening a wipe, handling it exactly as you would a real sample but without contacting any surface, then sealing and registering it. If the blank comes back clean, you have demonstrated that nothing in your kit, your technique or the transport introduced residue — and every result in the submission becomes considerably harder to challenge.

Choosing how many samples and where

We will help you plan this before the kit ships, because it is the decision that most affects whether your results are useful. As a general guide, a small residential screening assessment uses three to five discrete samples: the main living area wall, the kitchen, the primary bedroom, and the return air grille of any ducted air conditioning. Adding the ceiling above the main living area is often worthwhile, since ceilings are rarely cleaned and frequently return the highest result in a property.

A detailed pre-remediation assessment samples every room individually plus the HVAC system, and always includes a field blank. Composite sampling — combining up to four locations onto a single wipe — is the efficient approach for screening a large property, with discrete samples used afterwards to pinpoint anything the composite detects.

Self-collection versus independent sampling

Home owners and property managers collect their own samples with our kits every day, and for information, peace of mind and internal decision-making that is entirely appropriate. The method is not difficult, the instructions are clear, and a careful sampler following them produces a sound result.

There is one important qualification. Where the result may be used against someone else's interests — a bond claim, a tenancy tribunal application, an insurance claim, a purchase negotiation or any legal proceeding — the independence of the sampler becomes as relevant as the technique. A party with an interest in the outcome collecting their own samples invites an argument about the sampling, regardless of how carefully it was done.

In those circumstances we recommend engaging an independent environmental hygienist to collect. We would rather tell a client to use a hygienist and receive the analysis work than supply a kit that produces a result nobody will accept.
